Daily safeguarding reconciliations that survive a surprise request
When an investor or regulator asks for “yesterday’s safeguarding pack,” many teams scramble to rebuild numbers from bank portals. That scramble is itself a finding. The pack should already exist: bank balances, ledger floats, known timing differences, and a signed-off aging of unresolved breaks.
Name a primary and backup preparer. Freeze the cut-off — for example, 17:30 Taipei time — and refuse late postings without a documented override. Breaks older than three business days deserve a written root cause, not a verbal assurance that “treasury knows.”
During audits we often find that weekend settlement cycles create Monday morning chaos. Pre-stage Friday packs for expected weekend volumes so Monday’s reconciliation starts with known items instead of a blank page.
