Building a fintech evidence room before counsel asks for one

Founders sometimes confuse volume with preparedness. A useful evidence room for audits for fintech has folders that mirror examiner logic: governance minutes, product perimeter, customer lifecycle, money movement, complaints, and correspondence with authorities.

Version control matters. Stamp each artefact with the period it covers and the owner who can speak to it. Retire superseded policies to an archive so reviewers do not cite yesterday’s rules against today’s process.

We advise a monthly “shelf walk” of thirty minutes: open three random folders, confirm links still resolve, and replace anything that depends on a departed employee’s personal drive. That small habit prevents the frantic night before diligence starts.
